Invoices
Create, send, track, collect, download, duplicate, and void customer invoices from LedgerHQ.
The Invoices Workspace
Open Invoices from the left navigation. The workspace creates customer invoices, sends PDF documents, tracks payment status, and posts sent invoices to Accounts Receivable.
The list has All, Draft, Sent, Overdue, Paid, and Void views. Each row shows the invoice number, customer, dates, status, and total. The customer balances and payment timeline are available from Customers.
Create A Draft
Choose New invoice. The draft composer has three useful parts:
- Customer and invoice dates, including the due date;
- line items with description, quantity, unit price, and an optional revenue account; and
- notes and the customer-facing details that belong on the invoice.
The item library can fill repeat products or services. Save a line as an item when the firm wants to reuse its description, price, or account defaults. Choose Save draft to review the invoice before sending it.
Review The Invoice
Open a draft or sent invoice to check the customer, sender and recipient details, invoice number, issue date, due date, line items, tax when present, and total.
Drafts offer Edit, Send, Preview, Download PDF, Duplicate, and Delete. Sent invoices offer Resend, Preview, Download PDF, and Duplicate. A sent invoice can be Void when it should no longer be treated as live billing.
Deleting a draft removes an unsent document. Voiding a sent invoice is a confirmed accounting action, so use it only when the firm has decided that the invoice should not remain active.
Send An Invoice
Choose Send on a draft and confirm the customer email, amounts, dates, and sender details. Sending emails the invoice PDF, records the delivery in Email History, and posts the invoice to Accounts Receivable.
When Stripe is connected, the send dialog can include an online payment link. The customer can use that link to pay, and the payment status and customer balance update in LedgerHQ when the payment is recorded.
A sent invoice has reached the customer. Check the recipient and the accounting details before choosing Send. Use Resend for another copy of an invoice that is already sent, and use Duplicate when a new draft is needed.
Track Payments
The invoice detail page shows payment status and a Payments section when payments exist. The Customers workspace combines invoices and payments into a single customer timeline and shows Open, Overdue, and Paid balances.
Company owners can also work from mobile: email the invoice, text or share its payment link, share the PDF, or enter a card when the mobile payment flow is available for that invoice.

Reports
Run posted-ledger financial reports in Cash or Accrual basis and export polished statements from LedgerHQ.
Customers and what they owe
The Customers tab shows live open and overdue balances per customer straight from the invoice tables, and each customer page merges their invoices and payments into one timeline.
