Billing and trials

Understand LedgerHQ pricing, trial timing, active companies, included Tally usage, billing history, and card collection.

What The Firm Pays For

LedgerHQ + Tally is $20 per active managed company per month.

The firm workspace is included at no charge. A firm with no active managed companies has a billed company quantity of zero.

LedgerHQ + Tally is free through December 31, 2026. During that launch period, the firm can still be asked to collect a card through Stripe Checkout, but the first charge waits until the trial ends.

The subscription includes the first 6 mapped importing Plaid bank or card accounts for each active company. Mapped importing accounts above that allowance are $1 per account per month. Unmapped or skipped Plaid accounts may remain connected for setup or relinking, but they do not count toward connected-account overage until they are mapped to a LedgerHQ bank/card register and import-enabled.

Tally works across the firm's active companies with $5 of included AI usage per active company per month, pooled across the firm. Tally is fully managed by LedgerHQ — there are no AI accounts, keys, or provider charges. The firm can buy optional $25 Tally usage packs when included and banked credit are not enough.

Archiving a managed company removes it from the active company count while preserving its history. There is no separate company package or billing toggle.

Trials

A trial lets a firm enter the product and evaluate the workflow before the first charge. If card collection is required, the card is collected at signup and the first charge waits until the trial ends.

Launch-period firms get LedgerHQ + Tally for $0 through December 31, 2026. Billing starts January 1, 2027. The active-company subscription and any account overages become billable unless the firm has a staff or manual billing exception.

If a trial has been extended by staff, the firm should continue to have access through the extended date as long as the firm subscription remains current. If a user sees a billing gate during an extended trial, create a support ticket with the firm name and expected trial end date.

Where To Review Billing

This section covers the firm's own LedgerHQ subscription. To manage the monthly bookkeeping subscription that a client accepted during LedgerHQ onboarding, use Manage client engagement billing.

Firm billing is available from the account profile Billing tab. That view shows the firm-level subscription state, the next charge context when available, the active company count, billing history, and the Stripe portal action for card or subscription management.

Billing history is LedgerHQ-owned. Stripe still handles card management and invoice PDFs, but LedgerHQ stores invoice snapshots with invoice totals, line items, and the per-company/account breakdown at invoice time. Use Billing history when the user needs to understand a prior charge rather than only the current subscription state.

Site admins also have an admin billing surface for trial extensions and Stripe sync. Normal users should not need to use the admin panel.

Never send card numbers, Stripe secrets, or bank credentials through Tally or a support ticket. Billing actions should happen through Stripe Checkout, Stripe Portal, or the LedgerHQ admin billing tools.

Tally Included Usage And Packs

Each active managed company adds $5 of included Tally usage per month. The allowance is pooled across the firm's companies. Tally is fully managed by LedgerHQ, so there is no provider key or separate AI account to connect.

Unused included usage rolls forward as banked credit, up to $3 per company each month and $250 total. Tally draws on banked credit after the current month's included amount is used. The Automation tab shows the current usage and the remaining banked or purchased credit.

When included and banked credit are used up, choose Buy $25 more to buy a usage pack or wait for the monthly reset in UTC. A pack costs $25 of Tally usage plus $1 for card processing, carries over until spent, and does not auto-top up. Completed work remains safe while usage is limited.

The firm-wide Pause Tally control is separate from billing. Pausing Tally is an owner or admin choice and leaves chat available; usage limits and the monthly reset are handled by the Automation tab.

Firm-only setup with zero active companies

You can set up a Pro firm and confirm a card without creating a managed company yet. The firm workspace is included, active-company charges stay $0, and the firm remains ready so you can create the first company later.
