Send an import to Assisted Import

Have LedgerHQ staff handle a QuickBooks or bank and card import package from the company Import & Export page.

Open Assisted Import

Select the company that will receive the history, then open Settings > Import & Export > Assisted Import. Use this path when staff should review the files and handle the import package for you.

Assisted Import is also the right handoff when the self-service QuickBooks import is not suitable for the destination, such as a company that already has journal activity.

Choose The Package Type

Choose one of the two supported methods:

  • QuickBooks Online — provide a Chart of Accounts CSV, Journal CSV, Profit & Loss report, and Balance Sheet report. The financial reports should use the same ending date and accounting basis.
  • Bank and card files — provide one CSV, Excel, or ZIP package per bank or card account, with the full date range and account notes. Profit & Loss and Balance Sheet reports are optional for this method.

For QuickBooks, use the original Chart of Accounts and Journal reports. The Journal report must be named Journal, not General Ledger. LedgerHQ checks the file shapes, confirms every Journal account appears in the Chart of Accounts, rejects ambiguous account names, and checks that Journal transactions balance before uploading the package. Correct the source in QuickBooks and export the complete package again when one of those checks fails.

Add The Import Details

Complete the package form with:

  • Import through date — the cutoff through which staff should bring the history into LedgerHQ;
  • Accounting basis — Accrual, Cash, or Not sure;
  • Notify email — where the import status should be sent; and
  • Notes — context about the company, accounts, cutoff, or unusual source files.

Attach the files, review the package summary, and choose Send import package. The page keeps the selected company attached to the request so the files are not sent to the wrong books.

After You Send It

The page shows the request status, files, cutoff, basis, and notification address:

  • Files received means the complete package reached LedgerHQ and is waiting for staff work.
  • In progress means staff are processing or verifying the import.
  • Action needed means the import team requested corrected files.
  • Complete means the import finished and its completion summary is ready.

Keep the source files and cutoff details available while the request is open. When the package is complete, review the resulting accounts, reports, and registers before starting new live posting.

Send Corrected Files

When the page shows Action needed, read the exact Message from the import team. Upload a complete corrected package and select Send corrected package. Include every required file again; the replacement is the new whole package, not a patch to one earlier file.

The original request and files remain in the history. The corrected package becomes the active request, and staff continue from it. Email replies and email attachments do not update the import request, so add every corrected file on the Assisted Import page.

If a corrected package is already shown as Files received or In progress, do not submit another one. Refresh the page to see the current record.

Self-service QuickBooks Import and CSV Import remain available on the same page when the firm wants to check and run the import itself. Tally can review the company and its evidence, but Tally chat does not start, preview, approve, resume, or commit an Assisted Import package.
